This policy explains how Zaxxiss handles information for our website, consultation requests, client accounts, billing, and software services.

Overview

Zaxxiss is a Phoenix, Arizona software development company that builds custom mobile apps, web applications, business software, hosting-related services, and client account tools. We collect only the information reasonably needed to respond to requests, provide services, manage accounts and billing, protect our systems, and meet business or legal obligations.

Information We Collect

Zaxxiss collects information you choose to provide when you request a consultation, schedule a call, use client account features, or communicate with us about a project. This may include your name, email address, phone number, company name, website, project type, estimated budget, project summary, time zone, selected consultation time, and related business details.

When client billing and account features are available, we may also process account, subscription, hosting, email service, invoice, payment status, and billing information needed to manage services, invoices, auto-pay subscriptions, and client records.

Payment Information

If you pay an invoice, update a payment method, or enable auto-pay for subscriptions, payment information is handled through our payment processor. Zaxxiss does not store raw credit card numbers, raw bank account numbers, or other full payment credentials on our servers.

We may store limited payment-related records, such as processor customer IDs, subscription IDs, invoice history, payment status, transaction references, billing preferences, and limited payment method details returned by the payment processor, such as card brand or last four digits, when needed for account management and support.

Cookies, Security Tools, And Automated Signals

Our consultation scheduling flow uses a short-lived, HTTP-only scheduling cookie so you can choose a phone consultation time after submitting a request. The cookie is limited to the scheduling path and is used to connect your scheduling session to your pending consultation request.

We use Google reCAPTCHA to help protect public forms from spam and abuse. reCAPTCHA may evaluate device, browser, and interaction signals according to Google policies. We may also process basic technical request data needed for security, troubleshooting, and abuse prevention.

How We Use Information

We use information to review consultation requests, schedule calls, communicate about projects, provide software development and related services, manage client accounts, process invoices and subscriptions, maintain service records, improve site reliability, and protect Zaxxiss, clients, and the website from misuse.

We do not sell personal information. We do not use consultation details or client billing information for unrelated third-party advertising.

Service Providers

We may share information with service providers that help operate the website and client services, including hosting, database, authentication, email delivery, scheduling, security, analytics or diagnostics, and payment processing providers. These providers may process information only as needed to perform their services for us or as required by law.

Current and planned service providers may include Firebase or Google Cloud services, Google reCAPTCHA, EmailJS, and a payment processor such as Stripe for invoices, subscriptions, payment methods, and auto-pay features.

Data Retention

Consultation submission data is intended to be retained for 30 days unless a longer period is needed for an active client relationship, legal obligation, security review, billing record, dispute, or legitimate business purpose.

Client account, subscription, invoice, and payment records may be retained for the period reasonably needed to provide services, maintain accurate business records, comply with legal or tax obligations, and resolve billing or support issues.

Security Practices

We use practical security measures intended to protect information, including encrypted transport through HTTPS/TLS, input validation on public forms, reCAPTCHA abuse prevention, secure cookie settings, hashed scheduling tokens, environment-based secrets, and limited access to administrative data.

No website, database, or online service can guarantee absolute security. We work to reduce risk and limit information access to what is needed to operate the business and provide services.

Your Choices And Requests

You may request access, correction, or deletion of personal information associated with you, subject to identity verification and any legal, security, billing, or operational records we are required or permitted to keep.

For now, privacy requests are handled by email through the support or project communication channel already provided to active clients or prospective clients. Future account tools may provide additional request options from the client portal.

Children's Privacy

Zaxxiss services are intended for businesses and adults. We do not knowingly collect personal information from children under 13. If we learn that a child has provided personal information, we will take reasonable steps to delete it.

Our website or client services may link to third-party websites, tools, payment pages, app stores, documentation, or services. We are not responsible for the privacy practices or content of those third parties, and their own policies apply when you use them.
